How to set up an approval workflow
Approval workflows ensure that content never gets published until it's been vetted and approved by the most appropriate members of your team.
Note: Approval Workflows are available for accounts with 2 or more users.
To set up an Approval Workflow, head to the 'Members + Approvals' section in the top left corner of your Calendar.
Select 'Add' to add team members or clients to your Calendar and assign them User Permissions. These User Permissions define what each user can do on this particular Calendar.
What are the User Permissions?
View + Comment
Cannot create new posts or approve posts.
Creator
Can add posts and send own posts for approval. Cannot approve a post.
Approver
Can approve posts but cannot add new posts. Perfect for a Manager or Client.
Approver who can edit
Can approve posts, create posts, and edit posts. Perfect for a Manager or Client who needs edit access.
Beta: This User Permission is in Beta. Please ask us to enable this for your Calendar by getting in touch via Live Chat or emailing us at support@contentcal.co
Moderator
Can create new posts. Can approve any post, regardless of the post author. If you are an agency, we recommend assigning this permission only to your internal team.
How should I set up my workflow?
If you want to create content and have another user approve
You will need the role of 'Creator' and the user who is approving the content will need the role of 'Approver'. When you send content for approval, the Approver will receive a notification to let them know that content is awaiting their approval.
If you want to create and approve content yourself
You will need the role of 'Moderator'. This will enable you to create content, but also approve it. You will also be able to approve the content of others.
If you want to create content and receive feedback from another user but not allow them to edit or approve
You will need the role of 'Creator'. The user you would like feedback from will need the role of 'View + Comment'. The user with the role of 'View + Comment' will not be able to make changes to the content.
If you want to be able to create content and have another user approve but also be able to approve yourself
You will need the role of 'Moderator'. This will enable you to create content and send it for approval. However, you will also have the ability to approve this content yourself if you need to.
What about Advanced Approvals?
If you're needing multiple layers of approval, then you might consider our Advanced Approvals. Chat to a member of our team if you'd like this enabled for your account.
